Welcome to Tarantula Adventure Safaris! By accessing or using our website and services, you agree to comply with and be bound by the following terms and conditions. Please read these carefully.

1. Booking and payment

A booking is confirmed when we have received the agreed deposit and issued written confirmation. The lead traveller must be at least 18 years old and confirms that they have authority to accept these terms for everyone named on the booking. Unless your written confirmation states otherwise, a deposit of 15% is due at booking and the remaining balance is due no later than six weeks before departure. Bookings made within six weeks of departure must be paid in full at the time of booking. The client is responsible for bank charges, card charges, and any payment-provider fees unless we confirm otherwise in writing.

2. Cancellations by you

If you need to cancel, notify us in writing. Cancellation charges are calculated from the date we receive your written notice:

Days Before Departure Cancellation Charge
61 days or more Loss of deposit
60 to 45 days 25% of total safari cost
44 to 29 days 60% of total safari cost
28 to 7 days 90% of total safari cost
Less than 7 days 100% of total safari cost
Some flights, permits, accommodation, and third-party services may have stricter or non-refundable conditions. We will identify any such conditions in your confirmation where known. We strongly recommend comprehensive travel insurance.

3. Changes or cancellation by us

We plan carefully, but travel in East Africa can be affected by weather, road conditions, wildlife movements, park rules, transport disruption, safety concerns, and other events beyond our reasonable control. We may make reasonable changes to routes, accommodation, transport, timing, or activities when necessary. Where a significant change is required before departure, we will tell you as soon as reasonably possible and offer the options available to us, which may include an alternative arrangement or refund of payments received for services we cannot provide. We are not responsible for costs that are not included in your booking, including international flights, visa fees, insurance premiums, or personal expenses, except where required by applicable law.

4. Prices

Your quotation identifies what is included and excluded. Prices may change before confirmation. After confirmation, we may adjust the price only where a material change is caused by factors beyond our reasonable control, such as government taxes or park fees, transport costs, exchange rates, or supplier charges. If a material price increase is necessary, we will provide written notice and explain the options available under applicable law.

5. Health, fitness, and insurance

You are responsible for ensuring that you are medically and physically able to take part in your trip. Tell us about relevant medical, mobility, dietary, or accessibility needs before booking. We may be unable to accommodate a request where it would create a safety risk or is not reasonably practicable; we will explain this as early as possible. All travellers must arrange appropriate travel insurance, including emergency medical treatment, evacuation, and repatriation. For trekking, insurance must cover the planned altitude and activity.

6. Travel documents and conduct

You are responsible for passports, visas, vaccinations, permits, and compliance with entry requirements. Follow the lawful instructions of guides, park staff, accommodation staff, and transport providers. We may end your participation without a refund if your behaviour creates a genuine risk to you, other guests, staff, wildlife, or property, or seriously disrupts the trip.

7. Liability

Adventure travel involves inherent risks, including remote locations, wildlife, changing weather, altitude, and limited medical facilities. Nothing in these terms excludes or limits liability that cannot legally be excluded. Subject to applicable law, we are responsible for providing the travel services confirmed in writing with reasonable skill and care. We are not responsible for loss or damage caused by your own acts or omissions, unforeseeable events outside our reasonable control, or the acts or omissions of independent suppliers where we have exercised reasonable care in selecting them.

8. Complaints

If you have a concern during your trip, tell your guide or our office as soon as possible so that we have a fair opportunity to help. If the issue is not resolved, send full details in writing to info@tarantulaadventuresafaris.com within 30 days after the trip ends. Use the verified telephone number published on our Contact page for urgent support.

9. Photography and marketing

We may ask to use photographs or video taken during a trip for our marketing. We will obtain separate consent before using an identifiable guest image for this purpose. You may decline or withdraw consent for future use by contacting us.

10. Privacy and changes to these terms

We process personal information in accordance with our Privacy Policy and only as needed to plan, operate, and support your trip. We may update these terms from time to time. The version that applies to your booking is the version provided or linked at the time your booking is confirmed, unless a change is required by law or we both agree otherwise in writing.

11. Governing law and contact details
